Our established protocol for the creation and delivery of final assets is a robust and detailed one, though there may be instances where variations are necessary, depending on the unique requirements of each client. This could be due to a variety of factors, such as the client's specific needs, the nature of the project, or any other unique circumstances that may arise. The importance of correctly executing this process cannot be overstated. It is a critical aspect of our workflow and plays a significant role in ensuring the successful completion of our projects. Due to the nature of our work, many of the projects we undertake are likely to require updates or revisions in the near future. By adhering to our standard protocol, we can ensure that these updates are carried out smoothly and efficiently. This process greatly aids in maintaining a high level of clarity and organization, which is key for the smooth execution of subsequent projects and for the overall success of our work.
1). First things first
1). First of all clean up the project.
- Only preserve the most recent project files, and include the last version number in the file name.
- Transfer all other project files to an _OLD folder in the same directory.
- Follow the same procedure for the "Client WIPs" folder. Keep only the latest version shared with the client in the folder. Move all others to the _OLD folder.
- If there are multiple small projects within one major project, like i2w projects, or a project that expanded during post-production, organize these by placing project files and exports in logically named folders based on the assets created.
2). Clean up project files
- Ensure that it is clear which versions are the final ones within the project files.
- In Premiere, only the latest offline version per asset is available. Move all other versions to the _OLD folder.
- The final version will be created in the Final Delivery folder.
- Clean up timelines and keep all footage on one layer if possible, with a supers layer on top and the audio bounce as the audio track.
- In After Effects, we separate projects into comp shots and a separate super project.
- First, reduce your project by removing everything that's no longer needed.
- AE comp project contains all the VFX shots and are added to the _RENDER-COMPS folder. Move older versions to the _OLD folder.
- AE super project contains all the assets of the whole project, including only the copy/supers for them, possible logos, and end frames. Everything that can be localized should go in this project.
- After this is done, make a collect of the AE super project only, without any reference movies. Once the collect is completed, add the clean files (Created in the next step) of the assets in this project and then save it again. This procedure ensures we don't collect reference movies multiple times, keeping the data as compact as possible.
